Major Duties

Under general supervision, the Continuations Coordinator orders, renews, and cancels electronic and physical continuations, and orders packages negotiated by the Chancellor's Office in the Unified Library Management System (ULMS). The incumbent assists in the re-shaping of the library collection by participating in the decision-making process regarding continuations, and develops and participates in special projects.

Creates multiple types of purchase order lines in the Unified Library Management System (ULMS) including technical purchase order lines designed to link additional title orders together.

Follows State and Generally Accepted Accounting Principles (GAAP) guidelines to prepare, sign and submit invoices to the Accounts Payable Specialist for payment, and resolves vendor billing, invoicing, and statement issues.

Consults and collaborates with the Collection Development Coordinator and Acquisitions Librarian to address continuations licensing concerns.

Performs other duties as assigned.

Qualifications

Four (4) years of Library Assistant experience with High School or equivalent certification; OR three (3) years Library Assistant experience with equivalent to an Associate's Degree (60 units); OR two (2) years Library Assistant experience with equivalent to a Bachelor's Degree (120 units) in job related field required.

Knowledge, Skills, & Abilities

Thorough knowledge of: and ability to interpret overall library policies and procedures and an in depth knowledge of library operations, policies and procedures pertaining to assigned functional area, including a solid understanding of individual work functions and the ability to adapt work procedures; external on-line databases, system and resources, including the ability to perform complex on-line searches; institution's and library's policies and practices associated with the ethical use of and access to library and on-line resources; all aspects of lead work direction including assisting in employee selection, training employees in new work procedures, assigning work, organizing work flow and establishing priorities, reviewing work, providing input to performance evaluations and promoting teamwork to optimize effectiveness

Working knowledge of: library collection and its organization, as well as classification schemes; national standards pertaining to library operations, including a thorough knowledge of institutional standards pertaining to copyright and intellectual property protection and the ability to interpret and apply them, as well as explain them to patrons, to ensure compliance; library accounting and budget procedures and allocation processes, and ability to apply this knowledge to assist in handling vendor accounts and the budget process; campus human resource practices and payroll procedures; the functionality of each area of the Acquisitions Unit; acquisitions unit and CAMS department principles, policies, practices and procedures and the ability to apply this expertise and judgment to address unique continuations problems.

Ability to: investigate and research more complex problems, including analyzing and interpreting information; use initiative and independent judgment to order electronic and print continuations. Demonstrated expertise in: creating and correcting bibliographic records; using library automated system(s), especially subsystem(s) pertaining to the functional area, including database maintenance.

Strong written and verbal communication skills to be able to prepare internal library reports; strong organizational skills to oversee and lead work flow in assigned area.

Classification/grade: 2888 / Library Services Spec III / 1

The anticipated HIRING RANGE: $3775 – $4708, dependent upon qualifications and experience. The salary range for this classification is: $3775 – $6960 per month.

HOURS: Full Time; 40 hours per week; Monday through Friday.

REG: This is a Regular position with a one-year probationary period.

The position is currently hybrid (4 days in office, 1 day remote); however, this is subject to change based on operational needs.
